Activities

A.  The listed activities are the only ones included in your award trip. You may choose to enjoy other activities at your own expense.

A.  Yes. The trip covers up to three activities total per person, and doing two activities in one day is acceptable, schedule permitting. Please look at the activity times to verify. When you register, please choose one activity per day and then email Corporate Events with your special request.

A.  No. If you are a no-show or cancel less than 24 hours in advance, you forfeit that activity.

Registration

A. Visit the event registration page. Click Modify Registration and enter the email address you used to register and your reference number. Your reference number is in your confirmation email.

Travel

A. If you choose to add days for another destination, any difference in airfare will be billed to your personal credit card at the time you book your airfare. The Amex travel agents can assist you with determining costs prior to booking your ticket.

A. Every effort will be made to accommodate bed configuration/size requests, but there’s no guarantee. If your request can’t be fulfilled, an event staff member will contact you to discuss your available options.

A. Requests to extend your stay before or after the dedicated trip dates will be granted based on availability and will be at your own expense. If you’d like to extend your stay outside of July 8–12, the courtesy rate is $550 (plus resort fees and tax) per night. This rate is for a standard room, and is offered for three nights prior to group arrival day and three nights post-group departure day. A personal credit card and a deposit are required for all extensions. All extensions have a 14-day cancellation policy. Please note your desired check-in and checkout dates on the “hotel information” portion of your registration, and email your request to corporateevents@experian.com.

A. Yes. Experian will arrange your ground transportation from the hotel to the airport. If you’re staying at a different hotel, you’ll need to make your way back to Elite’s designated hotel for your scheduled pickup time.

A. The Experian Elite award trip is considered a business event that offers opportunities for Elite winners and their adult guests to visit with senior management and other Elite winners. Children are not permitted, and you’re expected to fully participate in the award trip with fellow winners and guests.

Reimbursements

A. No. The only transportation options covered are the ones that are part of the prearranged activities or airport transportation between the designated hotel and airport.

A. The Experian Elite award trip is considered employee compensation. Therefore, in compliance with federal tax statutes, it will be reported as such for federal, state and local income tax purposes. For compensation payments, the employee’s election for the 401(k) deferral applies. If the employee wants to not have 401(k) withholdings apply, they need to change their withholdings directly with their 401(k) provider — similar to our bonus process.

The grossed-up tax amount for your total trip value will appear on your paystub as “Spouse Travel Gross-up.” 

As a reminder, you won’t see any additional money in your bank account. The grossed-up funds are posted to your taxes so the gift of the trip that you’re taxed on doesn’t actually cost you any money during the tax process. Your taxes and earnings will be updated and reflected on your W-2 forms toward the end of the calendar year.
