Airfare
- You must book your roundtrip airfare through Amex. Airfare booked by any other means won’t be covered by the award trip cost center. Nonrefundable coach airfare tickets are included in the trip. Any expenses associated with upgrades or flight variations are your responsibility.
Baggage fees
- Checked baggage fees — up to one bag per person, roundtrip — are included. The receipt total will be doubled with an assumption of the return trip’s baggage fee amount. No expense reports will be accepted. Send your receipts to corporateevents@experian.com.
Transportation
- Roundtrip ground transportation between the destination airport and hotel is included.
Accommodations
- The award trip covers accommodations for four nights at the destination hotel.
Activities
- Each participant may choose a total of two activities from the list of award trip activities. Other activities are at your expense.
- Gratuities and roundtrip transportation for each activity are included.
Meals
- An allowance of $1,500 USD will be allocated per couple. You may use this allowance to cover all your food and beverage expenses (on and off property) during the award trip, including gratuities and room service. Anything above and beyond this allocation amount won’t be reimbursed.
- You may begin counting toward your $1,500 USD allotment upon hotel check-in. No food and beverage receipts after will be accepted toward your allotment.
- You’ll need to submit a receipt for off-property dining.
- Room service and minibar charges will count toward your meal allowance.
- We’ll pull a report at the end of the trip and transfer all charges up to the allocated amount of $1,500. To check your balance, you can ask the front desk for an up-to-date folio. These charges will stay on your room until the last day.
Miscellaneous
- Standard internet charges at the hotel during the award trip dates are included.
- Gratuities for all event activities and transportation between the airport and hotel are included. If you or your guest want to add any gratuities for exceptional service, it will be at your expense.
- Bellhop gratuities for roundtrip baggage delivery and housekeeping gratuities are included during the award trip dates. If you or your guest want to add any gratuities for exceptional service, it will be at your expense.

Airfare
- Change fees — additional airfare due to changes and additional airfare due to itinerary deviations aren’t included.
- Any upgrades or fees for preferred seats aren’t included.
Baggage fees
- Baggage fees exceeding one checked bag per person aren’t included.
- Overweight/oversized baggage fees aren’t included.
Transportation
- Ground transportation between your home and your local airport isn’t included.
- Ground transportation around the destination isn’t included.
Accommodations
- Accommodations outside the award trip of four nights at the hotel aren’t included.
Activities
- Up to three activities per person (one per day) listed on the activities page are the only ones included in the award trip. You may choose to enjoy other activities at your own expense.
Meals
- Any meals eaten before or after the award trip dates aren’t included. (any food or drink after check-in and before checkout are counted toward your allocation.)
- Any meals above and beyond the $1,500 USD allocation per couple aren’t included.
- Any business unit team meals during award trip dates, often hosted by business unit leaders, aren’t included.
Miscellaneous
- Hotel incidentals and souvenirs aren’t included.
- ATM and credit card processing service fees aren’t included.
- Movies purchased in your hotel room during award trip dates aren’t included.
- Laundry services aren’t included.
Guidelines for reimbursements
1. Receipts must be submitted to an Experian event staff member by the last day of the trip.
2. Expense reports won’t be accepted.
3. Receipts that should be submitted are:
- Checked baggage fees, up to one bag per person. The receipt total will be doubled with an assumption of the return trip’s baggage fee amount.
- Any meals that are eaten off property. An allowance of $1,500 USD will be allocated per couple. You may use this allowance to cover all your food and beverage expenses during the award trip. Anything above and beyond this allocation amount will not be reimbursed.
- Meals eaten on-property can be charged to your room and don’t require receipts but will be counted toward your allocation.
Please note that reimbursement is considered a compensation payment since it’s processed through payroll and not the expense system. Therefore, the employee’s election for the 401(k) deferral applies. Should you prefer to NOT have 401(k) withholdings apply, you’ll need to change your contribution directly with the 401(k) provider — similar to the bonus process. Should you choose to leave your 401(k) withholdings as is, your elected contribution amount will be deducted from your final reimbursement.
